TCard Photo and Documents Requirements

Before You Upload

Have these ready:

  • One portrait photo from your shoulder to above your head, with your face looking at the camera. It’s OK to smile and hair coverings are accepted.
  • One valid government-issued photo ID 
  • Any required legal status documents 

All uploaded images must be in colour. Review the instructions below for more information on your photo and document upload including face coverings and privacy.

Your TCard photo is used to confirm your identity. Follow these rules:

  • Show your head and shoulders. Face the camera. 
  • Use a colour photo. Center your face. 
  • Keep your face clear and easy to see. 
  • Use even lighting. Do not create shadows. 
  • Do not include other people or objects. 
  • Use a recent photo that shows your current appearance. 
  • Do not use filters, edits, or photos of printed photos. 
  • You may smile.

  • You may wear hair coverings for religious or medical reasons. 
  • Your full face must still be visible. 
  • You must submit a valid government photo ID that shows your full face. Religious coverings are allowed on the ID. 
  • It cannot be guaranteed that the same staff member will review online submissions.

Your document photos must meet these rules:

  • Use original documents. Do not use copies. 
  • The documents must be valid and not expired. 
  • Use colour images. 
  • Do not edit or change the images. 
  • Your name and date of birth must match University records in ACORN or HRIS. 

Follow the on-screen steps to upload your photo and documents. Processing starts after you upload all required items. 

  • The system may reject your submission if any item is missing.
  • Confirm your email address twice.
  • Upload your portrait photo.
  • Upload your document photo.
  • Submitted photos must be JPEG, PNG, or GIF files.
  • If you do not follow the rules, your submission will be rejected, and you will have to submit again.
  • Processing usually takes 2 to 3 business days. During busy periods, it may take up to 5 business days.
